
Your aim: Introduce the Manage invoices area, where AP/finance will manage all invoices that require some form of action, whether it be the matching status, coding allocation, or needing to be submitted for approval.
Preparation: Your primary demo user will automatically have access to the Unprocessed, Submitted, and Awaiting approval invoice trays, and each tray already contains some demo invoices for you.

Go to Manage invoices > Unprocessed tray.
|
- AP operators use this tray.
- You can view all unprocessed invoices in the system, or use the drop-down in the top-right to see all unprocessed invoices per company.
- Each line in the tray is an invoice.
- See a summary of each invoice by column.
- Use the universal search box in the top-right to search all invoices in your company using keywords. This is available in all of the invoice trays.
- Use the filter icon in each column to filter the list of unprocessed invoices by custom criteria. This function is available in all of the invoice trays.

Go to the Submitted tray.
(You’ll go into more detail about reports in the Reports section later on, so you only need to briefly introduce the reporting permission)

- AP operators use this tray.
- Enables visibility of where each submitted invoice is in its processing journey. Finance have the ability to recall an invoice if required

Go to the Awaiting approval tray.

- Only approvers see this tray. It contains all invoices that require that specific user’s approval
|
Go to the Approved and Denied trays. |
- Self-explanatory; The Approved tray is your archive of approved invoices.
- The denied tray acts as your ‘invoices under query’ tray. An AP user can review this tray and see what comments or notes have been left against the invoice explaining why it’s been denied. They can can reactivate if necessary, which will send it back to the Unprocessed tray.
- Select any invoice in either tray to review its audit trail (in the invoice’s Documents and Timeline).
