
Your aim: Highlight the scope for creating and customising workflows that mirror the various approval processes in your prospects' companies, meaning approval can happen in a matter of seconds.
Preparation:
- Familiarise yourself with the pre-set workflows in iCompleat that showcase the different kinds of approval processes, including approval groups containing multiple users, simultaneous approval workflows, and value threshold-based approvals This can be amended if you wish.
- If relevant to your prospect, personalise the demonstration by going to Configuration > Company Management > Behaviour Settings, and switching on the Enable alternative workflow logic toggle. This lets you demonstrate how to allow/restrict multiple approvals in a workflow.

From the homepage, go to Configuration > Manage workflow, and give an overview of the page.

- Here, you can see a list of your saved workflows and create a new workflow.
- You can save as many workflows as you like at no additional cost.

Select a workflow and highlight the potential for customisation.
Drag and drop an approval group to demonstrate the ease of customisation.
Click on an approval group and explain the purpose of approval groups.

- You can decide what transaction type this workflow will apply to, which allows plenty of flexibility. You can select either Invoice/credit notes only, Orders only, or All transaction types.
- Workflows can be single or multi-step, and there's limit on the number of steps that can be added.
- Workflows are quick and easy to set up, and can be easily customised to meet changing approval needs.
- Only one person in an approval group needs to approve to move a transaction to the next step of a workflow.
- Simultaneous approvals means that multiple users or groups need to approve a transaction at the same level to move it to the next step of a workflow.
- You can configure criteria so that approval groups only come into play under certain circumstances, like if a transaction is coded to a certain department, or the transaction is above a cost threshold.
- The multiple approvals toggle lets you restrict a user to only approving once in a workflow (only if relevant to the prospect).
- For orders, the PO PDF will be generated and emailed directly to the supplier once tfully approved (if desired). For invoices/credit notes, the transaction will automatically post through the connector into the integrated accounting software once fully approved. With the Universal Connector, the transaction becomes available to download in an invoice batch.
