As your AP user, submit a fully coded invoice to an approval workflow

Switch to your chosen pre-defined approval user who can approve the invoice you’ve submitted

Pause on the approval user’s homepage and explain that it’s a different view to that of the admin user. They have access to one company, and see only the homepage tiles relevant to them.

Go to the Awaiting approval tray. Explain that an approver might have a different tray view, showing only the invoices the approver has touched or needs to approve.

Select the invoice you submitted for approval in the last section, and review its header and line information.

Go to Documents and Timeline.

Select the Add comment check box, and select Approve. Add a quick comment before selecting Approve again.

Highlight the invoice in your Approved tray.

Select the approved invoice and show that the Documents and Timeline displays the full audit trail, from the invoice being received to being fully approved.

• When an invoice has been submitted for approval by AP/finance, you can see the invoice in the submitted tray and review who the current approver is.
• Approvers can receive approver alerts (email notifications for each invoice) or daily reports (an email once a day) to notify them that invoices are awaiting their approval.
• Approvers with the mobile app get a push notification every time there’s a new invoice awaiting their approval.
• Approvers can review the same information as finance, such as the matching status, data that’s been captured, bank detail validation, and the allocated coding.
• The Documents and Timeline shows the journey of the invoice so far, including who submitted it, and any prior approvals. It provides a full audit trail of the invoice for tracking and visibility purposes.
• Once fully approved, the invoice is posted to the integrated finance system, and a journal number is pulled back and displayed in the Approved tray. Two-way integration!
• If using the Universal Connector, once an invoice is fully approved it will be available to download in an invoice export.
• For integrated accounting software, approvers can also have permission to review the payment status of an approved and posted transaction from within their approved tray.
